Argo Academics (ABN 60 665 133 166) is a Melbourne English tutoring practice, operated by Callum Hay. This policy covers personal information collected through this website (argoacademics.com.au), the parent portal, and enquiry or enrolment forms. It’s written to be read, not skimmed past — if anything here is unclear, ask directly.

What we collect

Depending on how you interact with Argo, this may include:

• Enquiry and enrolment details— name, email, phone number, and information about a student’s year level, school, and learning needs, provided when booking a discovery call, trial lesson, or enrolling.
• Portal and lesson records — session notes, homework, submitted written work, and scheduling information, stored for enrolled families in the parent portal.
• Payment information — billing details are handled by Stripe; Argo does not store card numbers directly.
• Newsletter and resource requests— your name and email, if you sign up for the newsletter or request a free resource such as the Scholarship & Entrance English Assessment Guide.
• Site usage and session recordings— how pages on this site are used: pages visited, links and buttons clicked, and scroll behaviour, recorded as an anonymised session replay so we can see how the site is actually being used and fix what isn’t working. If you request a free resource (the guide, vocab list, three-pack, or diagnostic assessment), your name and email are attached to your session data so we can see how the same visitor uses the site over time. Session recordings never capture anything you type into a form field — those values are always masked, even for your own name and email.

Why we collect it

Personal information is collected to run the practice: to respond to enquiries, deliver tutoring, process payment, keep parents informed of a student’s progress, and — only where you’ve separately agreed — to send occasional emails about new resources, term openings, or writing worth reading. We don’t collect information beyond what a specific purpose requires, and we don’t sell or trade personal information to third parties.

Where it's stored

Enquiry, enrolment, and portal information is stored in Notion (our practice management system) and Google Workspace (for document sharing and email). Scheduling runs through Cal.com. Payment is processed by Stripe. Site usage and session recordings are stored with PostHog, an analytics provider. Each of these providers has its own security practices as part of their service; Argo doesn’t share information with them beyond what’s needed to run the service in question.

Session recordings

This site uses PostHog to record anonymised sessions — a replay of pages visited, links clicked, and scrolling, so we can understand how the site is actually used and improve it. Anything typed into a form field is never recorded, including your name and email on a resource-request form. If you request a free resource, your name and email are linked to your session so repeat visits are recognised as the same person rather than treated as anonymous each time. This data isn’t used for advertising and isn’t sold or shared beyond PostHog as our analytics provider.

Marketing emails and consent

We only send marketing-style emails — newsletter updates, resource follow-ups, term-opening notices — to people who have actively opted in, via an unticked checkbox at the point of signing up. Every such email identifies Argo Academics as the sender and includes a working unsubscribe link, processed promptly. Operational emails related to an active enrolment (lesson scheduling, invoices, portal notifications) aren’t marketing and don’t require this separate consent.

If you're under 18

Most of Argo’s students are under 18. Enrolment, portal access, and payment are always handled through a parent or guardian, who is treated as the account holder. If you’re a student under 18 wanting to request a free resource from this site, please have a parent or guardian complete the form on your behalf.

Access and correction

You can ask to see what personal information Argo holds about you or your family, correct anything that’s wrong, or ask for it to be deleted where we’re not required to keep it (for example, for tax or record-keeping purposes). Email admin@argoacademics.com.au and we’ll respond directly — there’s no automated process here, just a reply from Callum.
